Hello people,

While trying to use Budget, I ran into a problem, I have a Global Budget that is approved on the 1st of January.

I had (yes, had, because I can't seem to make it appear again) a named field where i could enter a number at the top of the "Advancement" (I'm using the french version).

So I enter that value for the Global Budget and then, I expect the Sub-Budgets to tap into that Global when I enter THEIR own value (Like, 760 000 for Global and 180 000 on the sub budget takes 180 000 from that 760 000)
BUT
When I uncheck the "Under Construction" and I approve the Budget, the only modifiable Global Budget Line where i could enter the value disappear and show only the Sub Budget Value

Now, i don't even have the "previsional value" field at the top when i make another budget unrelated tho these ones

All of that make it so that the Global Budget is unknown when i entered its value before

Does someone have an idea what I'm doing wrong ?

Thanks

I guess you deal with "target amount" ("prévisionnel cible" in french)
This field is designed to know the target amount that the planned amount should reach. So when you add sub-budgets, you can compare planned amount (calculated) and target amount. This is usefull when the budget is under construction.
When the budget is approved, this "target" field is not needed anymore : the planned amount is enough.
NB : when budget is approved, the sub-budgets are also automatically approved so that the planned amount is not changed.
Maybe we should add another blocking control to avoid adding new sub-budgets to an approved budget.

Thanks for these answers.

What i would like if possible is to have this:

I have a Budget approved at 1st of January that is Fixed for the Globality of our service
That Budget is x00 000€. I want to Show it on the Parent Global Budget and then have the sub budgets for whatever projects we do reflecting on this
In fact, Everything is there already beside the Fixed Amount we have at the start showing in the screen (that would show ONLY on the Parent Budget) even when the budget is not anymore under construction and is approved

If you have any idea (or using another screen ?), I'm all ears.

Thanks

Hi,

If my understanding is correct, what you want is not have Budget build from sub-budgets, but budget defining what you can use, and then "use" this budget with sub-items (that may be project budget).

This is not the way Budgets are designed.
Budgets are build from sub-budgets, lowest lever of sub-budgets are called budget items : then you can link an expense to budget item to "use" the budget.

I guess what you try to do is more like "Budget feature on Organization" : you define a yearly budget, then projects data will "use" this budget.
Try and activate this feature in global parameters and have a look at Oranizations budgeting feature.

Thank you,

I'll look into this.

🙂

Edit: I just had to do like you told me and do all the sub-budgets before working on the expenses since the approved budgets are yearly and will not change, i would have the total amount showing on the Global...

Than you again
