"Total expenses and costs per month" report problem

Hello,

I don't figure out why there is a difference between what the charges and cost of my project table shows (811 181,67€, which for me seems right) and what the "Total expenses and costs per month" report calculate (874 834,52€, which for me is wrong).

I have spent hours looking for a solution by searching in the "Activities" section. I know the problem is located within the "planned hours" cell : the total should be 50 797,5€ (like on the project table) and not 114 450.15€ (calcul). By the way all the activities related to this project are "in progress".

My question is : why is the "Total expenses and costs per month" report wrong ? Is there something I've forgotten ?

Hello,
Which version are you on? You can look at the activity expenses if that's where the difference comes from.
The 422 912.04 eur corresponds to the planned cost, this number is calculated in but not displayed on the project.

Hello,

The version I'm working with is the 11.4.4.

The difference doesn’t come from the « activity expenses » as I’ve verified all the numbers in this section. So I’m pretty sure it comes from the cost of the « planned hours » section.

The thing is that in the charges and cost of my project table, the displayed cost of the « planned hours » section is 50 797.5€, which for me is right (I’ve verified it in adding all the planned costs from all the activities of the project).

So why is the "Total expenses and costs per month" report calculating 114 450.15€ instead of 50 797.5€ ? Or maybe shouldn’t the total of charges and cost of my project table (811 181,67€) and the "Total expenses and costs per month" (874 834,52€) be equal ?

Hi,
Difficult to analyse the situation with just few screenshots.
Differences seems to be on the planned values, but I cannot find out more.
I would need access to data to understand (but this is out of scope of this free support)

I've found the origin of the problem but still didn't solved it.

The 114 450.15€ calculated by the "Total expenses and costs per month" report was the amount assigned on one activity. This raises several questions :
- Why was the total of the planned cost on the report made by adding the planned activity expenses (308 461.89€) + assigned hours cost (114 450.15€) (=422 912.04€), instead of the planned activity expenses (308 461.89€) + planned hours cost (50 797.5€) (=359 259.39€) like on the the charges and cost of the project table ?
- Why did the report took the assigned hours cost of only one activity (114 450.15€) instead of all the activities (438 981.81€) ?

After this observation, I've decided to delete the activity causing the problem and make a copy of it to see what could happen. Here is the result : now, the total of the planned cost on the report is perfectly equal to the planned activity expenses (308 461.89€), which means that it seems not to include the planned hours cost.

So is this how this report is supposed to work ?

The report "Total expenses and costs per month" exoects to sum Expenses and Costs.
Expenses summed are Project expenses, Individual expenses and Activity expenses.
Costs are costs of resources, from assignment. To get this, resources must have a cost defined (through the function on assignment)
 
Note that as Activity Expenses have been added recently, some reports may not take them into account correctly.
Don't hesitate to point out any issue on this point.

For your specific issue, could you please try and reproduce the case on Demo so that we have a use case to understand ?

Note that we found an issue (fixed on V12.1.2) that, in some cases, erases field `scope` on talbe `expense`
So look for lines where scope is null in table expense, set set it to correct value : 'ProjectExpense' if it is project expense, 'ActivityExpense' if it is activity expense, 'IndividualExpense' is it is individual expense.

Hello,

I reproduced my example in the demo, "Manager" section.

The project is called TEST_"Total expenses and costs per month" report. It includes one activity, with one resource assigned for 10 days: Analyst A (€300/day), or 300 × 10 = €3,000 assigned.

In the Monitoring tab, I added 10 actual days for Analyst A, for a total actual cost of €3,000.

However, when you edit the "Total expenses and costs per month" report, it appears that only the cost of actual days is counted (€3,000), not the cost of assigned hours (which is shown as €0).
