We have milestones, Activities linked to the milestones and assigned to various resources. What I want to do is to define the period and export all activities and updates or notes to an excel spreadsheet. This means all tasks, notes or comments done during the specified time needs to be exported to a spreadsheet in a format: Milestone, activity, responsible resources, "work done".

is this possible and if so, how -or how should we use the system to provide us this capability.

No, this is not possible tpday in ProjeQtOr.
What you expect is very specific.
It could be done through a specific export.

Let me first give overview of what we have and need to do in terms of the DFID contract:

We have milestones, some payment milestones and some normal milestones. The milestones contain detailed activities. All these are assigned to a resource with specific due dates. Our contractual reporting period is every quarter. At the end of each quarter we need to produce a report with a spreadsheet to the client and DFID indicating the work done against the schedule.

It can be that the consultant created various detailed tasks for each activity and assign them to other resources or even client resources. As these are done or new notes are added, we build the history. I did configure the system that on closure of an activity, one needs the capture the result field.

The spreadsheet contain the following columns:

Milestone, Activity, due date (quarter), Status, Responsible resource, comments (or we can use the Result field, but also the notes and tasks done within the quarter).

What I was thinking is what if there is a function where the user can define what fields to be used and in which order as well as level of detail. This is just an idea but could be helpful to everyone.

Milestones have no duration, but activities have, so Milestones cannot contain activities. :silly:

You mean sub-activities ?

OK, all this is standard ProjeQtOr behavior.

What "spreadshhed" are you talking about ?

What I was thinking is what if there is a function where the user can define what fields to be used and in which order as well as level of detail.

"define what field to be used" ... where ?

Hi, Sorry been away on project business.

The milestones contain detailed activities:
What I mean with this. We link an activity(s) to a milestone. Milestone is the Parent and the activities are the children (detail tasks to achieve the Milestone.Because the milestones are the contracted deliverable, we therefore have the ability by linking the activities to the milestones to see the detail activities and be able to report as per the contract. By looking at the sample Excel spreadsheet . Some Activities are linked to a milestone and some not. What we then what to do is to allow the export of the Activities and related information as per the sample spreadsheet. One comment I want to make. The last column is labeled MRP notes (on the sample Spreadsheet). The intention is to get the client Project Manager to review all completed activities and then comment. We want to list their comments as well to make sure all team members address their comments in the Results field. The Results field is used as the complete narrative on what what was done and how the activity met the initial requirement.

Hi,

It's a vocabulary issue : in project management a milestone cannot contain activities, it is just a key date.
So what you call a Milstone is a Phase, regrouping activities, and possibly ending with a milstone (delivery date)
So this is possible.
