Hi,
I have created an activity but I don't see any cost. I did the following steps:
- Created a new Function: Partner (with default cost 100 euros)
- Created a new Resource: Name with Main Function Partner
- Created a new Activity: Resource (the above Name) and assigned work: 16, status:assigned
However I do not see any cost data (e.g. assigned)
Any idea?
Thanks
Vangelis
You must define a cost for the resource and its main function
Fixing costs to resources is correct in relation to internal costs. Salary has to be paid every month.
But, there is a huge difference in relation to billing. Costs for high level dev ops are higher than for people being capable to clean printers and the like only. Bills follow this rule as well in relation to tasks.
Tasks are billable, not resources. No customer shows any interest on qualification of persons as long as job is done well.
For correct calculations there's need for defined billable prices for defined tasks related to knowledge (qualification) needed like trivial service, dev op, network planning and management, database planning and management, coding, whatever. If I understand workflow in Projeqtor correct it's done via kind of products.
This is the point where time management jumps in:
Even a high level HR has to perform low level tasks at some time. You can take travelling costs of second / third ... person to have lower qualified HR at customer's location but, it does not always make sense. Some flexibility is needed. Especially in IT business.
Without proper time management you are not on save side when it comes to calculation or detection of "break even" related to costs and bills when projects are running.
@diri :
ProjeQtOr takes into account difference between "cost" (how luch it will cost on the project) and billing.
To fit the need you describ, we have the billing mode "time and material".
To bill such projects, you need to defined Activity price (billing price for activity type on given project)
Then you will define bill lines with :
- reference to Activity Price (will give billing price and activity type)
- resource
- period (start-end dates)
Then, quantity for bill line will be number of real work days input on given priod, for given resource, on given activity type (for corresponding project).
Of course, only "not billed yet" days will be included...
@Vangelisk
Sure, you did not define cost for resouce :
Defining default cost for function is not enough. It is just the value that will be proposed when you create resource cost.
So on assignment, cost is set to zero
@babynus
Thank you for answerign.
I'll check it following your suggestions (takes some time ...).
You might be able to save some time for me:
How can I get an overview showing
- already billed tasks (with price) and real costs for those tasks
- unbilled tasks (with price) and real costs for those tasks
- summary of all, billed, unbilled ?
Thank you!
I'm afraid there is no such view.
You know Projeqtor much better than I do ... 🙂
How much effort do you expect when one creates such views
- for own company to have "running" stats about all / each project
- for customers to have "running" stats about their projects?
I would say 3-6 work days to develop such a report, with simple grids (no chart).
A single report could do the job, with 2 entries, with different parameters.
I don't like dashboards not really showing what happens.
A trivial grid could say more than any graph in such cases because there is chance see real numbers to get an impression about status of business. A red light is really of interest when (tasks in) projects or bills are overdue. 🙂
Let me think louder about parameters:
1 all / customer related / project related + overdue
2 period (really all / time span / previous quarter / quarter / month / year) + overdue
3 billed / unbilled
4 paid / unpaid (+ overdue)
Each with summary or detail only.
Normally it should be a little SQL and a common presentation layer (view).
To get a better understanding of functionality in Projeqtor:
From my limited point of view building the presentation layer takes most effort. At SQL I can't see a problem except at performance (maybe, should have a look at db structure).
Did I get this correct?
I understand the request.
If you want a quotation for this development, please contact us through contact form and provide company information (name, address, contact).
Thanks.
Thanks again,
let me finish with the evaluation of whole functionality and return with a total request.

Vangelis
